Are you ready to be an essential part of the Uniserve team, contributing to the smooth and efficient operation of our prestigious warehouse facility at Heathrow? We’re looking for a Warehouse Administration Assistant who can bridge the gap between our warehouse, operations, and valued customers, ensuring the highest standards of service. Reporting directly to the Warehouse General Manager, you’ll play a pivotal role in our daily operations by handling various administrative tasks. Here’s what you can expect:
Professionalism is Key: At Uniserve, we take professionalism seriously. You’ll be expected to uphold high standards of conduct and attire, in compliance with health and safety regulations and all warehouse requirements.
Specific Responsibilities:
Transport Planning: Collaborate with our operations teams to plan in-house and third-party airport vehicle schedules, ensuring timely collections and deliveries that align with flight departure schedules and storage cost priorities.
Manifest Management: Share transport plans with the warehouse team, providing manifests for import consolidations and export deliveries as needed.
Security Matters: Take charge of vehicle seal control and issuance for export cargo deliveries, ensuring the utmost security.
Customs Records: Create customs records in our ETSF promptly upon cargo arrival confirmation, and perform data entry into the customs system, updating the status accordingly.
Cargo Oversight: Notify the operations team of any count discrepancies or cargo damage during check-in, and adjust customs records as required.
Invoicing: Invoice storage costs to third-party users of our ETSF when applicable, maintaining meticulous record-keeping for customs purposes.
Bond Checks: Monitor the completion of weekly bond checks by the warehouse team to ensure compliance.
Inventory Assistance: Assist with inventory management and maintain records for storage customers. Additionally, order wooden pallets when needed.
ULD Control: Manage ULD stock, coordinating PMC collection for export and return of import PMC’s in line with operational needs.
Customer Communication: Maintain open lines of communication with direct warehouse customers to address requests and resolve inquiries.
Documentation: Prepare shipping documents, labels, and invoices as required for outbound shipments to our direct warehouse customers.
Compliance: Ensure strict adherence to safety and security procedures, as well as company policies and regulations.
Supportive Role: Provide essential support to the warehouse team by handling general administrative tasks such as filing, phone call management, and maintaining a clean and organized office space.
Financial Administration: Create weekly activity files for sales and purchase invoices, raise sales invoices to internal and external customers on a weekly basis, and manage supplier cost expectations. Resolve discrepancies on cost or purchase invoices as necessary.
Company-Centric Approach: Always consider the company’s best interests in dealings with customers and suppliers.
Reporting Requirements:
Report any exceptional and interesting customer activities.
Notify any incidents that could negatively impact our ability to deliver excellent service.
Escalate any discrepancies or queries that you are unable to resolve in a timely manner.
