The opportunity
To support the Technical Services Account / Site led to ensure the operational execution of FMS@ISS to OneISS best practice in the IFS/KA business on the Customer Account
The job holder will ensure that the appropriate scheduled and reactive work planning, materials, permits, and resources are estimated and organised prior to the work being assigned to the technicians. They will consult with the Technical Services Account/Site Lead and apply any developmental or specialist needs as dictated when assigning work to individuals. The jobholder consults additionally with the customer and other Technical Services team members to ensure all additional needs are covered in the preparation of work activities. The jobholder will physically audit an agreed percentage work activity, review all technicians’ comments, and update the work plan appropriately.

What you will do
Work Planning & Scheduling:
Determine activities required for completion of a work order.
Determine labour resource required for completion of a work order.
Determine spares required to complete a work order and arrange their procurement.
Determine external resource ( as required) for the completion of a work order and arrange their procurement (external service partners, specialist suppliers / specialist or ad-hoc requirements e.g., scaffolding, specialist advice/support etc).
Determine any Operational safety requirements for the completion of a work order and arrange for them Permit to Work (PTO), additional safety equipment, external support, method statements, risk assessments, fire watch etc).
Ensure appropriate technical information available for the execution and follow through of inspections and tests.
Determine any special tools or test equipment required and arrange their procurement.
Follow site standards, standard Operating procedure (SOPs) and other appropriate procedures to conduct all tasks in work planning detailed above.
Consult with appropriate personnel in ensuring the best solutions when planning and procuring equipment and resources for the completion of a work order (typically customer / Technical Services lead / Technicians and IFS service managers).
Work Scheduling:
For each work order determine dates and duration to complete work orders and assign to individuals or groups of individuals as required.
Coordinate the teamwork schedule to ensure the most effective use of team resources and ensure timely completion of all pre-planned, reactive, and corrective work.
Consult with client representatives to understand their programme and to ensure the work schedule takes account of this negotiating downtime window where necessary.
Draw up and publish weekly, monthly, and quarterly work schedules – make available to Team members and client representatives.
Consult with Technical Services Lead and IFS Service Managers to agree priorities and work schedule and any team related issues which will affect the proposed schedule.
Monitor the work queue analysing the work progress and in consultation with the Technical Services Lead follow agreed procedures for incomplete work requests – re-planning and/or rescheduling as appropriate.
Follow SOPs in the development of all schedules and take direction from the Technical Services Lead as to the direction of individual team members.
Maintenance & Spares Regimes
Review, update and share asset level procedures and job plans which indicate all aspects of the service activities required including – but not limited to:
Correct and accurate Identification of plant/equipment (Building equipment specification in Tririga)
Priority of planned task (risk, critically, customer delight)
Estimation of time required.
Bill of materials as appropriate
Indication of all resources required – labour, tools, permits,
Method statement or list of individual activities to complete identified task.
Frequency of task and date window within which task needs to be conducted.
Details of results, inspections test etc and systems for remediation of non-conformance or out of compliance results
Consult with team members to collate proposed amendments to maintenance regimes and following agreed procedures consult with the Technical Services Lead to determine appropriate follow up. Follow defined procedures for documenting, publishing, and archiving the above.
Performance Monitoring:
Regularly review success of and adherence to planned maintenance regimes – using defined reports and developing new reports as appropriate – publish results and work with Technical Services Lead to propose modifications to regimes or processes to improve success and remedy failures.
Review team’s work progress, analyse data for defined team metrics and seek out detailed information to aid the Technical Services Lead in team performance and effectiveness monitoring.
Produce ad-hoc reports as required and requested by Technical Services Lead / IFS Service manager or Customer to analyse and summarize work planning and equipment data for an assigned Technical Services scope.
Engineering Systems:
Responsible for maintaining data integrity within Tririga and associated electronic records for all assets and maintenance plans for assigned area.
Responsible for updating Tririga to show current status and all current relevant data of all scheduled, planned, and reactive work – this will include journal information that will be available to the client.
Responsible for ensuring all maintenance plans are correctly entered into Tririga and for monitoring their correct release.
Follow Group, country, account and site change control and other relevant procedures in conducting the above.
General:
Ensure the provision of a safe and healthy working environment and ensure compliance with all ISS Group policies and procedures as well as client site policies, procedures and working arrangements as required.
Ensure a professional image of ISS is presented to clients and visitors and ensure excellence in customer service is delivered and promoted at all times.
Flexibility to work shifts which will include weekends and Bank Holiday working.
To participate in out of hours, stand-by and call out procedures as required.
Report any deficiency in ISS systems blueprint implementation or execution that significantly impairs the Company’s ability to provide a safe and effective service.
At intervals not exceeding one years, undertake comprehensive evaluations and review of the Tririga system to Group compliance to support embedment and promote continuous improvement.
What you need to succeed
Qualifications:
Working knowledge of basic H&S requirements in a maintenance environment
Detailed working knowledge of preventive maintenance methods especially in building services.
Understanding of Spares & Inventory planning to work order via central systems.
Multi-disciplined Building Services Engineering experience.
Able to read O&M manuals and technical drawings.
Experience of Computerised Maintenance management systems
Experience of other computerised systems for purchasing, communication etc
Excellent written and oral skills are essential combined with people skills.
Ability to learn and understand local organisational systems and processes.
Committed to the delivery of OneISS.
Calm manner, able to work under pressure.
Able to make sound accurate decisions when needed.
A collaborator
Practical working knowledge of best practice systems.
Practical experience in Technical Services – Integrated Facilities Services contract delivery.

Experience:
Experience conducting maintenance activities in a process and building services environment with a proven history of Technical Services enterprise systems experience.
Professional certification or experience in work planning and scheduling, professional certification or working experience in project management.
