Job Description: Workplace Co-ordinator
Hours: Monday to Thursday, rolling shifts between 8am and 6pm (32 hours per week)
Salary: £20,000 p/a
Role Overview
To support and coordinate all services within your allocated department/s of Pacific Quay ensuring that areas are set up and ready for business, allowing BBC staff to focus on delivering their key objectives. To manage customer expectations, develop and maintain excellent relationships with all customers – particularly key clients. Provide the highest levels of customer service and be someone who strives to continually go the extra mile.
Ensure key performance indicator requirements are met and service level agreements are completed within the agreed timescales. To take ownership of fault management, from reporting to completion, audio-visual equipment, reprographics, minor repairs, visitor hosting & induction for visitors.
Person Specification
Proven experience within a strong customer service environment.
High quality interpersonal skills, with excellent written and spoken communication skills.
Self-disciplined and able to work on own initiative.
Flexible and adaptable approach to work with good problem-solving skills.
Attention to detail, a focus on standards, methodical & organised.
Knowledge of administrative and clerical procedures
Computer literacy, competent with Microsoft office suite including Word, Excel, PowerPoint and Outlook.
Calm, patient and polite, especially when receiving customer feedback.
Possess a “can-do attitude” gets things done, no problem too small.
Be a team player that will assist & support colleagues.
Welcome & embrace change with a positive attitude.
Able to work unsupervised in a fast paced and changeable environment.
Action orientated, results focussed and able to prioritise duties.
Job Specification
Customer Service
Deliver excellent customer service.
Establish good working relationships with customers.
Be highly visible in your designated area to BBC staff.
Fulfil all reasonable requests from BBC visitors & staff, ensuring comfort, satisfaction, and safety.
Coordinate FM services in your designated areas.
Be knowledgeable on BBC policies and procedures.
Have a confident and direct approach when dealing with customers.
Communication / Administration
Ensure knowledge of team members and department movements.
Liaise with other departments i.e., security, reception, porterage, mail room, housekeeping, engineering.
Be involved in and contribute to team meetings.
Assist with queries in person, by email or via telephone.
Ensure tasks are logged and managed to completion.
General administrative support, communication and hosting as required.
Prepare letters, documents, and reports as required.
Be knowledgeable on security, post & mail, and other building specific policies and procedures

Brand Standards
Ensure smooth running of all facilities in designated areas of responsibility.
Always maintain a professional image, ensuring all areas are clean, tidy, and ready for business.
Assist the client with the booking of meeting rooms and event spaces.
Ensure meetings rooms within designated areas are always ready for business.
Promote and ensure the BBC’s house rules and clear desk policy are adhered to within allocated area.
Conduct regular checks/floor walks of designated area i.e., cleanliness, maintenance, replenishment.
Responsible for health & safety in designated area of responsibility.
Audits/floor checks to maintain the fabric of the buildings.
